Range Yourself

Small-Team CRM Cost Index

Updated August 6, 2026 · 8 CRMs checked against their own pricing pages

All 8 of the 8 CRMs in this index load their pricing page with the annual toggle already selected, so the per-user figure most buyers read is a twelve-month commitment. Refusing that commitment costs between 22% and 111% more on the entry tier, depending on the vendor. This index therefore ranks on the month-to-month price and prints the annual one beside it. The cheapest place to start month to month is HubSpot Sales Hub at $10 per user; on annual billing it is HubSpot Sales Hub at $7 — both of those are current discounts against a struck-through $20 list price, so they are what you can buy at today rather than a standing rate. Every figure is quoted from the vendor’s own page and dated.

RangeYourself has no affiliate relationship with any CRM on this page as of August 6, 2026: every link here goes straight to the vendor’s own site and earns us nothing. We may pursue one in this category, and if we do we will say so here. Either way the ordering follows published prices and each vendor’s own stated terms, and a vendor that pays nothing is listed on exactly the same basis as one that does. See how we make money and our editorial standards.

The index

Ranked by cheapest per-seat month-to-month price ascending. Pricing clarity is shown as its own column rather than folded into the ranking, and the strings-attached column carries the things that move a bill without moving the headline: seat minimums, required one-off fees, quote-only tiers, and rates that change with team size.

What a team of five actually pays in year one

Arithmetic on published figures only: each vendor’s cheapest paid tier at its annual per-seat rate, times twelve, times the greater of five seats and any stated minimum, plus any required one-off fee on that tier. Where a component is unpublished the row says so rather than estimating the rest. Read it as a floor, not a quote: several of these cheapest tiers are capped or feature-limited in ways a five-person team would outgrow on day one, which the index table above sets out.

CRMYear one for a team of 5How that is made up
HubSpot Sales Hub$420$7/user/mo billed annually on Starter, times 12 months, times 5 seats. The rate used is a current discount against a struck-through $20 per-seat list price rather than a standing rate, so this total assumes the discount holds for twelve months.
Freshsales$540$9/user/mo billed annually on Growth, times 12 months, times 5 seats.
monday CRM$720$12/user/mo billed annually on Basic, times 12 months, times 5 seats. This vendor's per-seat rate moves with team size; the rate used here was read at 10 seats.
Close$540$9/user/mo billed annually on Solo, times 12 months, times 5 seats.
Zoho CRM$840$14/user/mo billed annually on Standard, times 12 months, times 5 seats.
Pipedrive$840$14/user/mo billed annually on Lite, times 12 months, times 5 seats.
Copper$1,380$23/user/mo billed annually on Basic, times 12 months, times 5 seats.
Attio$2,100$35/user/mo billed annually on Plus, times 12 months, times 5 seats.

Required charges outside the per-seat price

1 of the 8 vendors states a required charge that the per-seat figure does not include, and it states it on the same page as the prices, which is to its credit. At $3,500 it is also the largest single dollar figure anywhere in this index.

How the pricing-clarity rating is decided

It is not a judgement. The three clarity items, checked against the vendor's own pricing page: a month-to-month per-seat price for the entry paid tier; an annual per-seat price for the same tier; and a published price for every paid tier the page names, with none priced only as Custom or Contact sales. Full means all three, Partial means one or two, None means no paid tier carries a price. The rating measures what the vendor publishes, not whether the product is good value, and a required fee stated outside the per-seat price is disclosed separately rather than folded into the rating. As of August 6, 2026, 6 of the 8 CRMs rate Full and 2 rate Partial. The rating is derived from the same stored figures that populate the tables above, so it cannot drift away from the evidence.

Publishing prices clearly is not the same as being good value, and gating an enterprise tier behind a quote is a normal choice rather than evidence of anything. What clarity buys you is practical: you can budget and shortlist without a sales call.

Vendor-stated details worth knowing before you buy

Each of these comes from the vendor’s own page or is a plain reading of what it publishes. None is a claim about how any CRM performs.

How this index is verified

Every figure on this page was read from the vendor’s own pricing page and is stored with that page’s URL, a verbatim quote, and the date it was checked (most recent: August 6, 2026). Most of these pages render their prices in the browser rather than in the served HTML, so they were read in a browser at the same URL, with both billing toggles set in turn. Where a vendor publishes no number, we say so instead of repeating a figure from elsewhere. A blank in the calling column means the vendor’s pricing page names no calling capability, which is a statement about the page and not a claim about the product. Percentages and totals are arithmetic on published figures only. See our editorial standards and how we verify.

Which CRMs are in it. CRMs are included if a team of two to twenty people would plausibly shortlist them and the vendor sells directly rather than only through implementation partners. The set was chosen before any pricing was checked, so a vendor is never added or dropped on the basis of what its pricing turned out to look like. It is not an exhaustive census of the category.

Frequently asked questions

What is the cheapest CRM for a small team?

Month to month, HubSpot Sales Hub at $10 per user, verified August 6, 2026. On annual billing the cheapest is HubSpot Sales Hub at $7 per user a month. The month-to-month figure is a current discount against a struck-through $20 per-seat list price rather than a standing rate. The annual figure is a current discount against a struck-through $20 per-seat list price rather than a standing rate. Cheapest entry tier is not the same as cheapest for a team: some entry tiers are capped at one user or exclude the features a team needs, and those caps are listed in the table on this page.

Are CRM prices monthly or annual?

Annual, presented as monthly, on 8 of the 8 CRMs in this index: their pricing pages load with the annual toggle already selected. Switching to monthly raises every price, by between 22% and 111% on the entry tier across this set.

Do any CRMs charge a mandatory fee on top of the per-seat price?

1 of the 8 states one on its own pricing page: HubSpot Sales Hub, $1,500 on Professional; HubSpot Sales Hub, $3,500 on Enterprise. Every other vendor here states none, which is a statement about their pages rather than a guarantee.

Which CRMs have calling built in?

3 of the 8 name a calling capability on their own pricing page: Freshsales, Close, Zoho CRM. For the rest, the absence is an absence from the pricing page and not evidence that the product lacks calling.

How are these prices verified?

Each figure is read from the vendor's own pricing page with both billing toggles set in turn, and stored with that URL, a verbatim quote, and the date it was checked (most recent: August 6, 2026). Most of these pages render prices in the browser rather than the served HTML, so they were read in a browser at the same URL. Nothing is estimated.
